How to Create a Review Request System That Actually Works

A review request "system" isn't a one-time campaign. It's a repeatable process that generates reviews consistently without requiring constant attention. Here's how to build one.
Step 1: Choose Your Collection Method
QR codes on tables are the highest-converting method for restaurants. They're always visible, require zero staff effort, and let customers review while they're still in the positive experience. Alternatives include SMS follow-ups, email requests, and receipt links.
Step 2: Set Up a Review Funnel
Don't send every customer straight to Google. Use a simple funnel: customers rate their experience first. Happy customers (4–5 stars) are directed to Google. Unhappy customers (1–3 stars) are directed to a private feedback form. This protects your public rating while capturing all feedback.
Step 3: Train Your Team

Step 4: Monitor and Respond
Set up daily review monitoring. Respond to every review within 24–48 hours. This keeps the system running and encourages more reviews through engagement.
Step 5: Track Your Numbers
Measure weekly: how many reviews received, average rating, response time, and common themes. If your numbers plateau, adjust — try different QR placement, change the ask timing, or add a second touchpoint.
Make It Permanent
The system should run indefinitely, not for a month. Review collection is not a project — it's an ongoing operation. The businesses with the most reviews didn't run a "review campaign" — they built a system and never turned it off.
